
A Chinese business license can identify a registered business, but a photograph or PDF of the document is not enough to verify a counterparty. It may be outdated, altered, or copied from an unrelated company. Even a genuine license does not prove that the person presenting it is authorised to represent that entity.
China business license verification should therefore connect three checks: document review, independent registry matching, and transaction consistency. This field-by-field checklist explains what to read on a business license, how to compare it with current records, and which findings require further KYB review.
Start with the exact Chinese legal name and Unified Social Credit Code (USCC). Search for the entity independently through the National Enterprise Credit Information Publicity System, or GSXT, and compare the license with the current record. Then review the entity type, registered address, legal representative, capital, establishment date, and business scope.
Check current company status separately: it should not be inferred from the license image. Finally, match the verified entity to the contract, invoice, signatory authority, and payment beneficiary. A successful field match confirms consistency with a registered entity; it does not automatically establish document authenticity, ownership transparency, or an acceptable KYB risk level.
A business license, or 营业执照, is a registration document issued to a business in China Mainland. Its contents depend on the entity type and document version. A limited liability company, partnership, sole proprietorship, branch, and individual business should not all be expected to display identical labels or fields.
For companies, SAMR's registration guidance identifies core registered matters such as the name, domicile, registered capital, business scope, and legal representative. Some corporate information is available through registration or filing records rather than printed on the license itself.
Use the following checklist as a review framework, not as a requirement that every license contain every field in precisely the same position.
The name field, usually labelled 名称, identifies the registered business. Copy the complete Chinese name, including its geographic component and company suffix. Do not replace it with an English trading name, brand name, marketplace store name, or a translation supplied by a salesperson.
Compare the name with the independent registry result, contract, invoice, and other onboarding evidence. If a document uses an English name, obtain a clear link to the Chinese legal entity. A former name may explain a difference, but confirm the name-change history rather than assuming the names are interchangeable.
A material name mismatch should remain unresolved until supporting evidence identifies the correct contracting entity.
The USCC, labelled 统一社会信用代码, is an 18-character identifier. The official USCC framework includes a check character as part of its structure. It is an important matching key for separating businesses with similar names.
Read every character carefully and compare the code across the license, registry record, and onboarding form. OCR can confuse visually similar characters, so low-confidence extraction should be checked against the source image.
A code passing a format or checksum test is not proof that a license is genuine. The code must resolve to the same entity, and the other fields must agree. If a historical document contains an older registration number, request updated evidence or a documented identifier linkage.
The type field, usually labelled 类型, describes the legal form of the registered business. It helps determine which ownership, authority, and document checks are appropriate.
Compare the type with the current registry record and the counterparty's description of itself. A branch should not be treated as equivalent to an independent incorporated company. A partnership or individual business may display a responsible person or operator rather than a company legal representative.
Where the legal form affects liability, contracting authority, or onboarding eligibility, obtain the relevant supporting records before approval.
For relevant company types, the 法定代表人 field identifies the registered legal representative. Other entity types may use different role labels. Verify the role and name against the current record rather than imposing a company-specific label on every business.
The legal representative is not automatically the beneficial owner. A salesperson or contract signatory is also not required to be that person, but their authority must be established separately where needed.
If the person signing differs from the registered legal representative, request appropriate authorisation evidence. A matching name on the license does not authenticate the identity of someone communicating by email or messaging app.
For companies, 注册资本 records registered capital. Review the amount and unit carefully: 万元 means ten thousand yuan, not one yuan. Other entity types may display a contribution amount or a different capital-related field.
Compare the figure with the registry record and check whether a capital change explains a discrepancy. Do not equate registered capital with paid-in capital, cash balance, revenue, available credit, or production capacity.
If the relationship requires a financial-capacity assessment, request suitable financial and operational evidence. A large registered-capital figure cannot substitute for that review.
The establishment date, usually labelled 成立日期, indicates when the entity was formed. Compare it with the registry and the company's commercial claims.
A newly established company claiming decades of trading history may be referring to a brand, predecessor, founder's experience, or related company. Ask which entity actually performed that historical activity.
Do not confuse the establishment date with the issue or reissue date of the license. A longstanding company may hold a recently issued document following a registered change or replacement.
The address may be labelled 住所 or 经营场所, depending on the entity. Compare it with the current registered address and record any difference.
The registered address does not necessarily equal the factory, warehouse, office, or delivery address. Separate locations are not automatically suspicious, but the counterparty should explain their relationship to the verified entity.
For a supplier claiming manufacturing capability, independently verify the production location. Also review any address-related abnormal-operations record. A registered-address match alone does not prove that a facility exists or belongs to the supplier.
The 经营范围 field describes registered business activities. Review whether the description is broadly consistent with the transaction, and distinguish general activities from activities requiring separate permission.
Do not treat a broad manufacturing or trading description as proof of actual capability. Equally, a wording difference should prompt investigation rather than an automatic finding that the transaction is unlawful.
Where a product or activity requires a sector-specific permit, verify that permit separately, including its holder, activity coverage, and current validity. Business registration does not replace regulatory approval.
Review the registration authority, seal, and issuance information shown on the document. Consider whether they are plausible for the entity and its registration history.
Uneven fonts, distorted characters, inconsistent alignment, or edited-looking areas are reasons to request better evidence. They are not definitive forensic proof of alteration: scanning, compression, and legitimate document versions can affect appearance.
An apparent authority or date discrepancy should be resolved through independent registration evidence or official document verification where available. A convincing-looking seal is not sufficient authentication.
Where the license includes a QR code, inspect its destination carefully and compare any returned entity information with the independent search result. Do not assume that a scannable code authenticates the entire image; genuine codes can be copied onto altered documents.
Do not enter credentials or upload sensitive information to an unfamiliar destination. Start an independent registry search rather than relying exclusively on a link embedded in a supplied file.
Document format also matters. The 2022 license-format guidance explains that operating-term fields were removed from certain license types, and earlier versions could continue to be used. Missing term information or an older layout is therefore not, by itself, proof of a fake license. Check any relevant term in the registry record.
Once the printed fields have been reviewed, check what the registry says now. A license can remain in someone's possession after cancellation, revocation, or a change of details. Review the current status, relevant change history, annual disclosures, and abnormal-operations information.
For an operating entity, continue with the rest of the KYB process. For cancellation or revocation, pause approval and investigate whether the counterparty supplied an obsolete document or named the wrong entity. An abnormal-operations listing is a separate risk signal: review its reason, date, and removal information rather than assuming it is equivalent to cancellation.

Keep the source document, extracted values, registry source, retrieval date, and field-level comparison results. Separate unreadable information from confirmed mismatches; an unreadable field is not evidence that it differs from the registry.
These are practical review categories, not official registry statuses. Resolve material identity mismatches before approving the entity. Then apply a separate risk decision for the relationship.
A fraudster can copy a real company's name and USCC. A fully matched license therefore does not prove that the applicant controls the business or that the supplied bank account belongs to it.
Complete the additional checks required by your risk policy: signatory authority, payment-beneficiary verification, beneficial ownership analysis, legal and regulatory risk review, and AML screening. Supplier relationships may also require site inspection, product certification, or operational evidence.
Refresh verification when material details change. An old license should not override a newer authoritative record.
Extract the exact Chinese legal name and USCC, independently find the entity in GSXT, and compare the license fields with current records. Then check status, authority to represent the company, and transaction documents.
